What You’ll Do:
As the Training and Onboarding Executive, you’ll be responsible for ensuring every new team member is set up for success from day one. You’ll create and manage the training and onboarding experience, ensuring it is smooth, thorough, and in line with Virtually Efficient’s high standards. Here’s what your role will entail:
Design and Develop Training Programs:Develop and maintain comprehensive training materials and modules tailored to the needs of virtual assistants, client-facing staff, and operational teams. You’ll ensure that training covers everything from soft skills to technical tools, as well as client-specific processes and procedures.
Onboarding New Team Members:Lead the onboarding process for all new hires, ensuring a seamless transition into the company. You’ll introduce them to our culture, values, and systems while guiding them through our training curriculum to ensure they are fully prepared to start their roles.
Continuous Learning and Development:Implement ongoing training initiatives to support continuous skill development for all team members. You’ll regularly assess the effectiveness of training programs and identify areas for improvement, ensuring that the team stays up-to-date with industry trends and best practices.
Performance Evaluation and Feedback:Monitor and evaluate the progress of trainees throughout the onboarding process and after. You’ll provide constructive feedback, conduct assessments, and ensure that team members meet performance expectations before they are assigned to client projects.
Collaboration with Department Leads:Work closely with department heads, including Client Success, Operations, and HR, to ensure that training programs are aligned with company goals and meet the specific needs of different teams. You’ll gather feedback from various departments to adjust training content as needed.
Technology and Tools Training:Ensure that all virtual assistants and employees are proficient in the tools and platforms they will use on a daily basis. This includes training on project management software, communication platforms, CRM systems, and other key technologies.
Mentorship and Support:Provide mentorship and support to new hires during their onboarding journey, ensuring they have a point of contact for any questions or challenges they face. You’ll act as a guide and resource, helping them feel comfortable and confident in their new role.
Develop Training KPIs:Establish key performance indicators (KPIs) for training and onboarding effectiveness. You’ll regularly track these metrics to measure the success of your programs and make data-driven adjustments as necessary.
Stay Updated with Industry Trends:Stay informed about the latest trends and best practices in training, virtual assistance, and remote work. You’ll incorporate this knowledge into our programs to ensure that Virtually Efficient stays ahead of the curve in providing top-tier services.

Strong Instructional Design Skills:You have a solid background in developing and delivering engaging training materials. You can create structured, easy-to-follow programs that cater to a range of learning styles and experiences.
Experienced Trainer:You have proven experience in training and development, preferably in a service or virtual assistance industry. You know how to convey complex concepts in a clear, concise manner that resonates with learners.
Organized and Detail-Oriented:You have excellent organizational skills and can manage multiple training programs and onboarding processes simultaneously without missing a beat. You’re able to track the progress of multiple team members and ensure timely completion of training.
Excellent Communication Skills:You’re a natural communicator with the ability to clearly explain concepts and processes. You can confidently lead training sessions, deliver feedback, and collaborate effectively with cross-functional teams.
Mentor and Motivator:You have a knack for guiding others through their learning journey and providing them with the tools and encouragement they need to succeed. You know how to foster a supportive learning environment where team members feel comfortable asking questions and seeking help.
Tech-Savvy:You’re comfortable with digital tools and platforms used in virtual workspaces. You can effectively train others on how to use project management systems, CRMs, and other virtual collaboration tools.
Data-Driven:You understand the importance of tracking training effectiveness and using data to inform your strategies. You can analyze performance metrics and use this information to continuously improve your programs.
Adaptable and Creative:You’re able to adjust training programs to meet the evolving needs of the company and individual team members. You’re creative in your approach to learning, always looking for ways to make training more engaging and impactful.
Requirements:
Bachelor’s degree in Human Resources, Education, Training, or a related field.
3+ years of experience in training, onboarding, or talent development roles.
Proven experience developing and implementing training programs, preferably in a remote or virtual environment.
Excellent presentation, communication, and instructional skills.
Strong knowledge of learning management systems (LMS) and training tools.
Ability to manage multiple projects and priorities in a fast-paced, dynamic environment.
Experience working in or with remote teams is a plus.
Familiarity with virtual assistance services and operations is a plus.
Ability to provide feedback and mentorship in a constructive and supportive manner.
Excellent attention to detail and organizational skills.
